What to Do When You Are Slammed

We’ve talked about what to do when you’re new or slow, but what about what to do when you are slammed? You know the feeling—back-to-back showings, texts coming from every direction, and a to-do list you can’t seem to conquer. This episode is all about how to navigate that high-intensity season of real estate and keep your sanity intact. Whether you’re feeling buried in busy or caught in the crazy cycle, we’ve got practical, actionable advice to help you manage it all.

Defining “Slammed” in Real Estate

Being “slammed” looks different for everyone. For some, it’s juggling 30 pending deals. For others, it’s 10. The key is recognizing your personal max capacity. If you’re constantly working sunup to sundown, it may be time to evaluate how you’re operating. More isn’t always better, and hitting your breaking point doesn’t make you more successful. You need to determine your limits so you can still serve your clients well and maintain your well-being.

The Power of Systems

The fastest way to climb out of the chaos is to put systems in place. Even if you’re mid-chaos, it’s not too late to start. Use tools like Trello to track leads, tasks, and progress. Systems help offload your mental load and allow you to serve more clients without dropping the ball. When a new lead comes in, give them homework. Share your pre-approval process or seller checklist. This puts the next step in their court—and buys you time.

Prioritizing When You’re Deep in It

So, what to do when you are slammed and can’t take one more thing? Refer out what you can—especially buyers. Listings tend to be more manageable and predictable than working with multiple active buyers. Focus on what tasks require your direct attention and what can be outsourced or scheduled for later. Use batch working strategies to manage check-ins with pending clients, closing gifts, or listing follow-ups. Time-block your calendar and stick to it.

Avoiding Client Loss in Busy Seasons

Busy agents sometimes lose clients—not because they’re bad at their job, but because they forget to follow up. If a lead goes cold while you’re juggling ten others, they might list with someone else. That’s why your follow-up system matters. Even a quick check-in via Trello or a saved email template keeps you top of mind. Use screenshots, reminders, and weekly Trello reviews to stay organized and connected.

Managing Stress and Mental Overload

High-volume agents often carry guilt—guilt for being busy, or guilt for not feeling busy “enough.” The secret? Stop tying your self-worth to how many pendings you have. Your worth isn’t measured by how frantic you feel. Take care of your mental health with boundaries, systems, and time away from your phone. Go for a walk. Clean your kitchen. Let your brain process without constant stimulation.

Your Toolkit for a Better Busy

Here are some tools and habits that help us stay on track:

  • Weekly Check-ins: Spend one hour reviewing all pending transactions.

  • Trello for Lead Tracking: Keep all your people in one place, and follow up on a schedule.

  • Email Templates: Save time and set expectations with ready-to-send emails.

  • Office Days: Dedicate one day per week to admin and follow-ups (see Ep. 78).

  • Screen Recordings: If you’re preparing for an assistant or TC, record your tasks now.

You Don’t Have to Be “Busy” to Be Successful

It’s okay to not be slammed. It’s okay to say, “I’m doing great,” without sounding exhausted. Busy is not a badge of honor. Whether your calendar is full or you’re taking time to reset, you’re still building a thriving business. If you’re always busy or always slow and can’t sleep either way, it’s time to break the cycle. Start with your systems and take control of your schedule—and your peace of mind.
